Everything Claude can do in Outlook — and what it can't
Claude now lives inside Outlook. The five things it does well, the analysis skill most people are sleeping on, and the honest limits before you lean on it.
Claude is now available inside Outlook — not as a chatbot in another tab, but sitting in your inbox with access to your mail and your calendar. It is one of the most practical answers I have seen to the question everyone actually has: how do I get AI to help with email without turning into a copy-paste machine?
I have spent a lot of time putting it through its paces. Here is the honest map — the five things it genuinely does well, the one most people are sleeping on, and the limits worth knowing before you lean on it.
The five things it actually does
- Drafts and replies to emails. The obvious one. Done properly — with your writing style captured first — it produces replies that sound like you, not like a press release.
- Manages the mailbox. Triaging what needs you versus what is noise, sorting, and actually making inbox zero a realistic Monday rather than a fantasy.
- Searches with memory. Finding things by meaning rather than exact keywords — “what did we agree with that supplier in March” instead of guessing the words someone used.
- Analyses and researches. Reading across threads to pull out the context, commitments and patterns buried in your inbox. More on this below, because it is the underrated one.
- Supports your calendar. Helping schedule, organise meetings and prepare for them from the email history around them.
Notice the shape of that list. Only the first item is “writing.” The other four are the work around the writing — and that is where the hours actually go.
The skill most people are sleeping on
If I had to pick one capability that people underuse, it is analysis.
Your inbox is not just a pile of messages. It is years of business context — relationships, proposals, decisions, the follow-ups you promised and the ones owed to you. Most of that never gets used because nobody has the time to read back through it. Claude can. Ask it the right question and it will surface the thread you forgot, the commitment that slipped, or the pattern across a client’s last ten emails that tells you how to handle the eleventh.
That is the moment it stops being an email tool and starts being a workflow layer across your inbox, calendar and documents. Drafting a nicer reply saves you a minute. Making sense of your own inbox saves you the thing you never had time to do at all.
What it can’t do — and why some of that is good
Being honest about the limits is the whole point, so:
- It is not autonomous, and you should not want it to be. It drafts, suggests and prepares; you approve. Anything that sends on your behalf or moves things around deserves a human eye — especially where dates, times, money or other people’s inboxes are involved.
- It still gets details wrong. Numbers, dates and specifics are exactly where it slips. Treat its output as a confident first draft, never a finished fact.
- It is bounded by your setup and permissions. What it can see and do depends on your Microsoft 365 environment — and if your organisation manages add-ins centrally, check with IT before you connect it to work email.
Some of those restrictions are not limitations at all. An AI that cannot quietly reorganise your mailbox or fire off a reply without you is an AI you can actually trust to help.
Where to start
Do not switch on everything at once. The order that works:
- Set it up properly first — most people skip this and pay for it. I walk through the exact setup prompts in set up Claude in Outlook before you let it touch anything.
- Teach it your voice before you let it draft, so the output sounds like you — see make Claude write emails that sound like you.
- Then explore the deeper skills — the hidden ones most people never find, and whether you can trust it with your calendar and meetings.
That is the difference between “we tried the AI email thing and it was meh” and a tool you genuinely rely on. If you would rather have it built into how your whole team works — the setup, the habits and the guardrails — that is exactly what the AI Execution Sprint and our hands-on workshops are for.
